Summary

The Francis Crick Institute is seeking to recruit a Public Engagement Assistant to provide administrative and project support to our education outreach and public engagement programmes.

This post sits within the Public Engagement team, which leads on the Crick’s strategic priority of engaging and inspiring the public. The public engagement team work in partnership with staff across the institute to connect broad audiences with Crick science and deliver a range of activities including public events and exhibitions, community engagement, and education outreach.

The Public Engagement Assistant will support the day-to-day running of the team and help coordinate our engagement programmes. In addition to providing general support to the team, this role will have with a particular focus on liaising with schools to arrange education workshops, and managing our public engagement databases to support reporting and evaluation. There will also be opportunities to create content for our communications channels, and deliver cross-team activities such as internal events, and equality, diversity and inclusion (EDI) initiatives.

This role is an excellent opportunity for a highly organised and motivated individual with administrative experience looking to develop their skills in administration, data management, event logistics, communications, and audience research, and to get an insight into education outreach and public engagement.

The public engagement team aims to grow and diversify the community of people that feel that science and the Crick is relevant to them, and works to embed a culture of engagement across the institute. Our successful education outreach programme currently works with thousands of local children, giving them an exciting introduction to science and the range of careers on offer to those with STEM qualifications. It encompasses hands-on practical workshops, careers events, competitions, teacher training and family events.

Reporting to the Head of Public Engagement, the Public Engagement Assistant will work closely with all members of the Public Engagement team, and the Communications, Front of House and Logistics teams. 

Key responsibilities

The main objective of the role is to provide administrative support to the Crick’s Public Engagement team, with a particular focus on liaising with schools to arrange education workshops, and managing our public engagement databases to support reporting and evaluation. This will be a varied role, specific responsibilities will include, but not be limited to the following: 

  • Providing general administrative support for the Public Engagement team including booking meetings, processing finances, ordering materials, conducting desk research, and preparing documents.
  • Enquiry management; answering or redirecting enquiries coming in to the Public Engagement team via generic email addresses, ensuring prompt responses and escalating when necessary.
  • Supporting the education outreach programme, including liaising with local schools and Crick teams to arrange bookings, helping with assembly and dispatch of materials to schools, and collating work experience applications.
  • Managing the public engagement databases; inputting data, assisting with data analysis and reporting, and identifying opportunities for improvements.
  • Coordinating content and overseeing distribution of internal and external newsletters.
  • Keeping the public engagement pages of the intranet and Crick website up to date, uploading events, news stories, and resources.  
  • Supporting the delivery of cross-team activities such as internal events, marketing campaigns, and equality, diversity and inclusion (EDI) initiatives.
  • Supporting other public engagement events and projects where necessary and relevant, including school visits, education workshops, family discovery days, community festivals, and exhibition launch events.
  • Developing an understanding of the Crick’s commitment to equality, diversity and inclusion and how it relates to the role.

Knowledge, experience and attributes:

  • Excellent administrative skills with prior experience working in administration.
  • Experience of working in a busy office environment.
  • Highly organised, with the ability to perform and prioritise multiple tasks.
  • Analytical, with strong numerical skills and excellent attention to detail.
  • High degree of computer literacy with proficiency in Microsoft Office suite, including Outlook, Excel, and Word.
  • Excellent time management skills, with the ability to adapt to various competing demands, and work to deadlines.
  • Excellent oral and written communication, with strong customer service skills.
  • An interest in science education and engaging public audiences with science.
  • Reliable and flexible with a positive attitude, prepared to take on a variety of tasks.
  • Works well collaboratively, as well as independently, enjoys supporting others and finding solutions.
  • A quick learner, with the ability to take initiative, but also to accept direction and seek guidance appropriately.
  • Minimum of 5 GCSE (or equivalent) grade C (4+) including English and Maths.
  • Flexible and results-oriented, willing to occasionally work on evenings and/or weekends where required to support special events.
  • A commitment to respecting and valuing diversity, and contributing to an inclusive workplace culture.

Desirable

  • Data management skills; experience maintaining and updating databases and assisting with data analysis and reporting.
  • Experience of supporting with event planning and logistics.
  • Experience working or volunteering in education or public engagement, preferably with science.
